Privacy notice: HiveMind by Plexor Labs
Last updated: 28 September 2026 · Version: 2
This notice explains what Plexor Labs does with information you give us on hive.plexorlabs.com, where you can join our waitlist and ask us to price a published app. A member of our team prepares each price.
Who we are
Plexor Labs, Inc., a Delaware corporation, 160 NW Gilman Blvd, Suite 441, Issaquah, WA 98027, USA. Contact for anything in this notice: team@plexor.dev.
What we collect, and why
| What | Why we use it | Our basis |
|---|
| The link to your published app. A member of our team opens it and reads its public pages the way any visitor would. Our service may also read them, to check our estimates against the team's, and once we turn on automated estimates it reads them to make the estimate | To estimate the work and send you a price by email, and to check our estimates | You asked us to, which is a step before any agreement |
| Your email address and name, and the industry you choose | To put you on the waitlist and contact you about it | Your consent, given on the form |
| The organization we infer from your email address's domain, or "personal" for a personal email service | To count one pre-booking per organization | Our legitimate interest in keeping accurate records |
| Whether you ticked "Email me about Plexor Labs" (unticked unless you tick it) | We send you marketing email only if you ticked it. Emails about your waitlist place, your price, pre-booking and the launch don't need the tick. | Your consent, which you can withdraw at any time. |
| The price we send you (the amount, whether it is one-time or monthly, the date we sent it, and who on our team reviewed it), whether you pre-booked, and a record of what you agreed to (time, the wording and its version) | So we can honour what we sent you, and show that you agreed | Our legitimate interest in keeping accurate records |
The campaign details in the link you followed (for example utm_campaign) and a referral code, if any | To know which of our messages brought you | Our legitimate interest in understanding our own outreach |

Who else handles it for us
| Service | What it receives | Why |
|---|
| Microsoft (Azure and Microsoft 365) | Everything listed above | It hosts the site, its functions and its storage, and delivers our confirmation email (Azure Communication Services). It also hosts the two mailboxes our team uses for your price: we send it from warrenjo@tryplexor.com, and your replies go to team@plexor.dev |
| Compulsivo, Inc. dba Prefinery | Your email, your industry, a reference number, a referral code if you arrived with one, and, once you pre-book, the price we sent you | It runs our waitlist. It doesn't receive your name, and it doesn't email you: your confirmation comes from us. We don't send it your IP address or browser details. |
| HubSpot, Inc. | Once you've pre-booked: the details our waitlist provider holds, the price we sent you, and your place on the waitlist | Our contact records. We don't use them to send you marketing email. |
| Plexor's decomposition service (our own system) | Your app's link, and the text and screen names it reads from its public pages, when we check an estimate or once we turn on automated estimates. It never receives your name or email | It keeps them, with the signed estimate it made, and gives them only to Plexor's own systems and, for the estimate, to the model provider named below, so the same link gets the same estimate and the estimate can be checked later. It never receives your name or email. It keeps the page text for 12 months after the last estimate for that link. The estimate itself is kept without the page text. |
| Plexor's AI gateway (our own system) | When our service reads your app: the text of its public pages, with email addresses and phone numbers removed first | It passes that text to the model provider and stores usage figures, not the text. A request our gateway rejects as malformed can be logged in full, and is deleted automatically within 90 days. |
| Anthropic, PBC (the model provider) | When our service reads your app: the same page text, never your name or email | It reads the page text to name what the app does. Under its commercial terms it doesn't train on this content. It deletes inputs and outputs within 30 days, and keeps content flagged under its usage policy for up to 2 years. |
These providers may process information in the United States. We are based in the United States, so your information is processed there. Each provider above processes it for us under a data processing agreement. For people in the EU and the UK, those agreements rely on the standard contractual clauses.
How long we keep it
- Waitlist details are kept until you ask us to remove you, or for 12 months after our last contact with you, whichever comes first. The price we sent you, and your pre-booking, are kept with them and deleted with them.
- If you start the form and don't send it, nothing is stored.
- Estimates made by our service, once automated estimates are on, carry your app's link and short quotations from its public pages, never your name or email. Anyone who asks us about the same app gets the same estimate, with the same reference number, and anyone who has that number can open it. We keep them so the estimate can be checked later.
- Records of what you agreed to are never altered once written. They're kept for as long as we hold your details, and deleted with them.
- Technical logs: we keep no technical logs of the waitlist today. When we add them, they are kept for up to 90 days.
Your choices and rights
You can ask us to show you what we hold, correct it, delete it, or stop using it. When you ask us to delete your details, we delete your waitlist record, the price we sent you and your pre-booking, your record at our waitlist provider, and your contact record at HubSpot. If you ask, we also delete what our service read from your app, including the estimates it made, which carry its link and quotations from its pages. If we hold any other record about you, we delete it too. Where a record is kept in a form we can't erase, we stop using it and mark it so it's never used again. You can also withdraw your marketing consent at any time: reply to any email from us, or write to us at the contact above. We complete a request within one month.
If you're in the EU or the UK, you can also complain to your data protection authority.

This notice explains what Plexor Labs does with information you give us on hive.plexorlabs.com. There you can tell us about an app you've published, say where to send your plan, register with your email address and confirm it, and receive a link to a page that shows your plan, how long we expect the work to take and its price, and pre-book there. A member of our team prepares each plan and price.

What we collect, and why
| What | Why we use it | Our basis |
|---|
| Your answers about your project: what you hope to achieve, how far you've got, the link to your published app, the industry you choose, and any notes or goals you write. A member of our team opens the link and reads the app's public pages the way any visitor would. Our service may also read them, to check our estimates against the team's | To estimate the work and prepare your plan and price, to check our estimates, and to count requests per industry | You asked us to, which is a step before any agreement |
| A record that you reached the registration step: your answers, your app's link, and which campaign link you followed to reach us, if any, under a reference number we compute from your email address and your answers. It holds no email address, name or company | To count how many people ask for a plan, and to prepare your plan once you register | Our legitimate interest in knowing how many people ask for a plan |
| Your name, your email address, your company if you give one, and a record that you confirmed the address by opening the link we emailed you and pressing "Submit for analysis" | To give you an account, to email you when your plan is ready, and to show it to you on the site | You asked us to, which is a step before any agreement |
| The part of your email address after the @, or "personal" for a free email service | To count one pre-booking per organization, and to leave our own team out of our counts | Our legitimate interest in accurate counts |
| Which campaign link you followed to reach us (the link's campaign labels, never anything about you) | To count which campaigns bring requests | Our legitimate interest in knowing what works |
| If you register with a beta code: an identifier of the code you used. We don't keep the code you typed | To open the site in stages, and to know which codes were used | Our legitimate interest in opening the site in stages |
| A record of what you agreed to when you pressed "Submit for analysis" (the time, the wording and its version, and the versions of this notice and our terms) | So we can show that you agreed | Our legitimate interest in keeping accurate records |
| Whether you ticked "Email me about Plexor Labs" (unticked unless you tick it) | We send you marketing email only if you ticked it. Emails about your request, your plan and price, and pre-booking don't need the tick | Your consent, which you can withdraw at any time |
| The plan and price we show you (the amount, whether it is one-time or monthly, how long we expect the work to take, what it covers and a short summary, the date we emailed you its link, who on our team prepared it and who reviewed it) | So we can honour what we showed you | Our legitimate interest in keeping accurate records |
| The link in your plan email carries, sealed so only our site can read it, your email address, your reference number, and your plan and price. We keep a random identifier for each link, when we sent it, and the delivery service's reference for the email. If we withdraw a price, we keep that link's identifier on a list so the link stops working. When you open your plan, we record the day, under your reference number | To show you your plan, and to count plans opened | Our legitimate interest in showing you your plan and knowing it was seen |
| If you pre-book: that you pressed "Pre-book and join the waitlist", the price your plan showed, your organization (above), the versions of our terms and this notice, and when | To keep your place on our waitlist and contact you about it | Your consent, given when you press "Pre-book and join the waitlist" |
We set no cookies. Your browser keeps one setting, the light or dark theme, if you choose one. Nothing else is kept on your device, and the site doesn't keep you signed in.
To limit how many confirmation emails we send, we count requests for a link: at most three for one address in each clock hour. Each count is marked with a scrambled form of your address, never the address itself. We delete the counts after 7 days.
We don't sell your information. We don't use your information to train AI models.
Who else handles it for us

| Microsoft (Azure and Microsoft 365) | Everything listed above | It hosts the site, its functions and its storage, and delivers the emails we send you, including the email that confirms your address (Azure Communication Services). It tells us whether each email was delivered. It also hosts our team's mailboxes: we send our emails to you, including a link to your plan and price, from warrenjo@tryplexor.com, your replies go to team@plexor.dev, and our own systems email our team there about your request, with its reference number, your app's link and your answers about what you hope to achieve, how far you've got and your industry |
| Compulsivo, Inc. dba Prefinery | If you pre-book: your email, your industry, a reference number, and the price you pre-booked at | It runs our waitlist. It doesn't receive your name or company, and it doesn't email you. We don't send it your IP address or browser details |

| Plexor's decomposition service (our own system) | When we check an estimate: your app's link, the reference number of your request, your answers about the project, and the text and screen names it reads from your app's public pages. It removes email addresses and phone numbers from your notes and from the page text as it reads them. It never receives your name, email or company | It keeps them, with the signed estimate it made and a written report of the work the estimate covers, and tells our team by email when an estimate is ready, with links our team must sign in to open. The email and the report carry your app's link and your reference number, never your name or email. It gives them only to Plexor's own systems and, for the estimate, to the model provider named below, so the estimate can be checked later. It keeps the page text for 12 months after the last estimate for that link. The estimate itself is kept without the page text |

How long we keep it
- If you leave before you send us your email address at the registration step, nothing about you is stored. We count that someone started, with nothing about who.
- The record that you reached the registration step is deleted 30 days after we make it. After that we keep only the number of such records for each day, with nothing about you.
- The link that confirms your address works once, within 15 minutes. The record that it was used carries no name or address, and we delete it after 7 days.
- The link in your plan email works for 30 days.
- Your account, your request, your plan and price, the record of when you opened your plan, and your pre-booking are kept until you ask us to remove them, or for 12 months after our last contact with you, whichever comes first.
- Copies of the emails that told our team about your request are kept in our team's mailboxes for as long as we hold your details.
- Records of what you agreed to are never altered once written. They're kept for as long as we hold your details, and deleted with them.
- Email delivery records. Microsoft's report of whether each email reached you is kept for 90 days, marked with a scrambled form of your address, not the address. If an email to you bounces because the address doesn't exist, we keep the address on a list so that we don't email it again, and the notice of the bounce comes to our team's mailbox. A report our system can't process is kept, with your address, for up to 30 days.
- Estimates made by our service, including those it makes to check our team's estimates, carry your app's link, your reference number and short quotations from its public pages, never your name or email. Each comes with a written report of the work it estimates. We keep them so the estimate can be checked later.
- Technical logs. The site's functions keep no technical logs today. Our decomposition service keeps technical logs for up to 90 days. They carry your app's link and your reference number, never your name or email.
Your choices and rights
You can ask us to show you what we hold, correct it, delete it, or stop using it. When you ask us to delete your details, we delete your account, your request, the record that you reached the registration step, your plan and price, the record of when you opened your plan, your pre-booking, the counts and delivery records marked with your scrambled address, the emails that told our team about your request, the bounce notices in our team's mailbox, your record at our waitlist provider, and your contact record at HubSpot. If your address is on our list of addresses not to email, we remove it. If you ask, we also delete what our service read from your app, including the estimates and reports it made, which carry its link and quotations from its pages. If we hold any other record about you, we delete it too. Where a record is kept in a form we can't erase, we stop using it and mark it so it's never used again. You can also withdraw your marketing consent at any time: reply to any email from us, or write to us at the contact above. We complete a request within one month.
